Wedding Venue Logistics: What to Ask Before You Book
Finding the perfect venue is the biggest decision you'll make, but the glossy brochures don't always tell you about the logistics.
After shooting hundreds of weddings across the North West—from the dark, atmospheric halls of Manchester City Centre to the bright, airy rooms of Trafford manor houses—I’ve learned what questions really matter. Here is my guide to the logistical side of your venue.
Light & Atmosphere
Our venue is very dark inside (e.g., The Monastery or Town Hall). Will the photos look grainy?
Historic venues in Manchester are famous for being atmospheric, but they can be dark. This is where hiring a specialist documentary photographer matters. I use professional low-light cameras and fast lenses to capture the mood without destroying the atmosphere with bright, distracting flash.
Tip: If you are planning a winter wedding, ask your venue what time they dim the lights. We might need to schedule your speeches earlier to make use of the ambient light.
Can we use candles or sparklers?
his depends entirely on the venue's fire license. Many listed buildings (like The Monastery or Victoria Warehouse) have strict rules about open flames. Always check before you buy 100 sparklers! If they allow it, sparkler exits make for incredible end-of-night photos.
Logistics & Travel
How do we handle travel between the ceremony and reception in the city?
If you are getting married at the Town Hall but partying in the Northern Quarter, you need a plan.
- Taxis: Pre-book a fleet of Ubers or black cabs for guests.
- The Walk: If the weather is nice, a 'wedding parade' through the streets makes for iconic photos.
- Parking: City centre parking is notoriously expensive. Check if your hotel or venue offers a supplier discount code for your guests."
Is there somewhere for us to hide?
Weddings are intense! Ask your venue if they have a 'Quiet Room' or a private bridal suite where you and your partner can take 10 minutes alone after the ceremony. It’s crucial for recharging your batteries (and lets me capture some lovely quiet moments).
The Rules (Confetti & Group Shots)
Can we throw confetti?
Most churches and venues now ban paper or plastic confetti because it’s a nightmare to clean up. However, almost all of them allow biodegradable dried petals.
Pro Tip: Ask where you can throw it. Some venues ban it at the front door but allow it in the garden. Knowing this helps us plan the perfect confetti tunnel shot.
Where do we do group photos if it rains?
This is Manchester—rain happens! When viewing a venue, always ask: 'If it rains, where is the backup space for group photos?'
Look for a room with large windows or a covered archway. Venues like Flixton House and The Midland have excellent indoor options that ensure we get great family portraits without anyone getting wet.
Vendor Logistics
Do we need to provide a meal for our photographer?
It is industry standard to provide a hot meal for your photographer and videographer, usually while you are eating your wedding breakfast (since no one wants photos of themselves chewing!). It keeps our energy up so we can stay sharp for the evening party.
What time can suppliers arrive?
Check the access time. If your florist or stylist needs 3 hours to set up but the venue only opens 1 hour before, you have a problem. Ensure the 'Supplier Access Time' matches your vision
